Regarding vendor deliveries, if vendors will be sending heavy freight or larger deliveries, they will need to coordinate directly with ACES. If they are sending smaller packages, those can be shipped directly to the facility; however, vendors will be responsible for retrieving their packages from our loading dock outside of Security.

ELECTRICITY
Please note, if you require electricity at your booth this needs to be ordered ahead of time.  Information about ordering electrical is included in the link below. These orders are the responsibility of the participating vendor/company. We recommend placing your order at your earliest convenience.

LOADING/PARKING
Designated loading and unloading area is the Ballroom Drop-Off Circle off Cumberland Avenue. You do have the ability to use the loading dock; however, it is closer and quicker to utilize the Ballroom Drop-Off Circle. This is a 20-minute loading/unloading zone, so vendors will need to unload their vehicles and then relocate them before returning to set up their table or booth.

We do not have designated onsite parking for vendors. However, there are several nearby parking options available, with a maximum daily rate of $7.00. The most commonly used locations are:

  • Locust Street Garage - Complimentary after 6:00 p.m. on weekdays and free on weekends (maximum of $7/day).
  • Poplar Lot - Complimentary after 6:00 p.m. on weekdays and free on weekends (maximum of $7/day).
  • Blackstock Lot - Our only complimentary parking option.

CHECKING IN
Please check-in at the registration desk when you arrive, located in the Clinch Concourse of the Knoxville Convention Center (3rd Floor). 

EXHIBIT HALL
The Exhibit Hall is located on the 3rd floor of the Knoxville Convention Center, Ballroom A-D.

Tuesday, September 29

  • 1:30 PM – 5:00 PM             Exhibitor Move-in 

Wednesday, September 30

  • 7:30 AM – 11:00 AM          Exhibitor Move-in (loading dock open)
  • 11:00 AM – 11:30 AM       Exhibitor Orientation & Lunch
  • 12:00 PM – 5:30 PM           Exhibit Hall Open
  • 12:30 PM – 2:00 PM           Exhibit Forums 
  • 5:30 PM - 6:30 PM               Teardown

NAME BADGES
Be sure to wear your name badge at all times during the convention. A name badge will be required to gain entrance into the exhibit hall. 

Important Reminders:
  • If you have not notified us of who your Exhibitor Representatives will be onsite, please do so at your earliest convenience to Elizabeth Lane at [email protected].
  • If you have additional representatives attending with you outside of the 2 allocated per exhibiting company, please complete the Exhibitor Representative Form.

EXHIBIT SELLING POLICY
The focus of the exhibits continues to be education and public relations. Exhibitors may sell products from their booth, or they may take orders and collect payment for purchases to be shipped. If the products are display samples, they may be picked up at the close of the Exhibits. Outside sales are prohibited and will be enforced.

DISMANTLING 
No part of an exhibit shall be removed during show hours. Exhibits must be kept intact until 5:30 p.m. on Wednesday, September 30. All exhibits must be dismantled and removed by 6:30 PM on Wednesday, September 30, 2026; otherwise, NEAFCS reserves the right to remove the exhibit at the exhibitor’s expense.
