All freight sent directly to the exhibit facility will be charged a drayage charge from the facility and Arizona Cine Equipment, Inc.  This includes All Booths, Table-tops, Poster Boards, Conference Rooms and Private Suites.

ADVANCED ORDER DISCOUNT DATE
The deadline to receive discounted orders with Arizona Cine Equipment is September 2, 2024.  After this date, standard pricing will prevail for all orders.

SHIPPING
The Advanced Shipping deadline is September 11, 2024.  So, all items being shipped ahead of time directly to Arizona Cine Equipment must be received by this date.  More details can be found in the exhibitor kit. 

EXHIBITOR KIT
You should have received a copy of your exhibitor kit via email from Arizona Cine Equipment.  This contains information about ordering needed items for your booth, shipping etc.  Click here to view the Exhibitor Kit.

ELECTRICITY
Please note, if you require electricity at your booth this needs to be ordered ahead of time and can be done through the RICC website.  Information about ordering electrical is included in the link below. These orders are the responsibility of the participating vendor/company. We recommend placing your order at your earliest convenience.

LOADING DOCK
The loading dock will be open on Wednesday morning and Thursday morning only for load-in/load-out.  If you are setting up your booth on Tuesday evening, please note you will need enter through the main hotel lobby. The loading dock will not be available. Click here for map of loading dock.

CHECKING IN
Your name badges, and other important papers including raffle tickets will be placed on your table for your arrival.  There is need to check-in at the registration desk when you arrive.

The Exhibit Hall is located in the Tucson Ballroom.

NAME BADGES
Be sure to wear your name badge at all times during the convention. A name badge will be required to gain entrance into the exhibit hall. 

Important Reminders:
  • If you have not notified us of who your Exhibitor Representatives will be onsite, please do so at your earliest convenience to Elizabeth Lane at [email protected].
  • If you have additional representatives attending with you outside of the 2 allocated per exhibiting company, please complete the Exhibitor Representative Form.

RAFFLE TICKETS
In your exhibitor packet you will find an envelope with raffle tickets and an instruction sheet. Please make sure to review prior to the opening of the exhibit hall. We hope this provides attendee engagement with the vendors and to give them a chance to win a prize!

SECURITY
Exhibit area will be locked at the close of each day for the protection of the exhibits. Unauthorized personnel will not have access to the exhibit area during non-show hours.

EXHIBIT SELLING POLICY
The focus of the exhibits continues to be education and public relations. Exhibitors may sell products from their booth, or they may take orders and collect payment for purchases to be shipped. If the products are display samples, they may be picked up at the close of the Exhibits. Outside sales are prohibited and will be enforced.

DISMANTLING 
No part of an exhibit shall be removed during show hours. Exhibits must be kept intact until 10:00 a.m. on Thursday, September 19. All exhibits must be dismantled and removed by 12:00 p.m. on Thursday, September 19, 2024; otherwise, NEAFCS reserves the right to remove the exhibit at the exhibitor’s expense.
